Stop chasing clients for their documents.
DocIntake sends every client a checklist for their return, reads what they upload, tells them exactly what is still missing, and follows up until the file is complete.
- One checklist per return type: Dutch IB, UK Self Assessment, US 1040, or your own.
- Every upload is matched to the list. Wrong year or wrong name is flagged in seconds.
- Reminders by email and SMS run themselves, at the pace you set.
- One screen: who is complete, who is close, who needs a call.
Join the founding firms
Launch planned for December 2026, ahead of the 2027 filing season. No card needed.
How it works
Three steps, no new habits for your clients. They get a link, they upload, they are done.
Pick the return type
Choose a checklist or write your own. DocIntake sends the client a short, plain-language request list in their language, with a link that works on a phone.
Clients upload, DocIntake reads
Each file is matched to the checklist: jaaropgave, P60, W-2, mortgage statement, bank statements. Missing items and wrong years are flagged before you open the file.
Follow-ups run themselves
Polite reminders by email and SMS at the pace you set, until the file is complete. You see who is done, who is close, and who needs a call.
What it does not do
DocIntake does not give tax advice and does not file anything. It collects, checks completeness, and chases. Your judgement stays yours, and every flag is one click to override.
Where the files live
- Stored in the EU (Frankfurt), encrypted at rest and in transit.
- A data processing agreement is included for every firm.
- Delete a client file at any time and it is gone, including backups within 30 days.
- Completed files export as a zip or to your document system.
Founding firm offer
Flat per firm, unlimited clients and staff. The first 20 firms keep this price for two years and shape the checklists with us. We only ask for a card when the product is ready for you.
Questions firms ask
Does it replace my practice management software?
No. It sits in front of it. Completed files export as a zip or straight into your document system. Google Drive, Dropbox and SharePoint come first; tell us what you use.
How does it read documents?
A document model classifies each upload and checks the year and the name on it against the checklist. It never fills in a return and never reads more than it needs to match the item.
Which languages?
English and Dutch at launch. Client-facing messages follow the client's language, and you can edit every template.
When can I use it?
Planned for December 2026, ahead of the 2027 filing season. Founding firms get access first and we build the checklists with them in November.
Who is behind this?
DocIntake is built in the Netherlands by a solo founder with a background in product development and AI. Small team, fast answers.
